Here’s something I always tell my clients: no trip is ever completely without risk — but that’s never a reason to cancel your plans or put your dreams on hold. Whether you’re gathering the whole family for a milestone reunion, whisking your partner away on a romantic escape, or celebrating a big birthday with your closest friends, you deserve to travel with confidence and peace of mind.
After more than a decade of planning luxury trips for groups and families, I’ve learned that the travelers who enjoy their experiences most aren’t the ones who avoid uncertainty — they’re the ones who show up prepared. So before you pack your bags, here are the 11 things I walk every one of my clients through.
1. Purchase Travel Insurance — and Actually Read Your Policy
I put this first for a reason — it’s the step with the tightest deadline, and the one I see travelers get wrong most often. Travel insurance is non-negotiable for international travel, but purchasing it is only half the job. Friend, you have to actually read your policy. Coverage can vary widely on things like civil unrest, terrorism, and government travel advisories — and some policies won’t protect you if a warning was already in place before you bought it.
Here’s the other thing — insurance only works if you buy it before something happens. Once an event makes the news or an airport closes, that window is closed. It’s too late.
If you have even the slightest hesitation about your destination, I strongly recommend adding Cancel For Any Reason (CFAR) coverage. It gives you the flexibility to cancel for practically any reason and recoup 50–75% of your non-refundable costs — including simply changing your mind. Just know it must be added within 7 to 14 days of your first trip payment, so don’t sit on it. 2. Register with STEP — It Takes Less Than 5 Minutes
The U.S. Smart Traveler Enrollment Program(STEP) is completely free and takes just a few minutes to set up. Once you’re registered, the U.S. embassy in your destination knows you’re in the country and will send you official updates if conditions change on the ground. It’s one of the simplest, smartest things you can do — especially when you’re traveling with family or a group.
3. Read the Official State Department Page for Your Destination
Before you travel — and again in the days just before departure — take a few minutes to read the State Department’s country page for your destination. It covers crime trends, entry requirements, regional areas of concern, and local laws. Some countries carry standard terrorism warnings as part of their advisory language, and that can sound alarming out of context. Read the full page so you have the complete picture — not just a scary headline.
4. Follow @travelgov on Social Media
While you’re in research mode, take two more minutes to do this. Follow the U.S. Department of State’s @travelgov account and consider joining their WhatsApp channel, “U.S. Department of State – Security Updates for U.S. Citizens.” It’s a simple way to keep real-time updates flowing directly to your phone — no searching required.
5. Back Up Your Documents in Three Ways
This is the step most people skip — until the moment they desperately need it. Before you leave, make a printed copy of your passport bio page, travel itinerary, and insurance information. Save photos of everything on your phone. And store a secure copy in the cloud. Keep your backups separate from your originals, and trust me, you will thank yourself later.
6. Share Your Itinerary with Someone at Home
Give a trusted person at home — a family member or close friend — your flight details, hotel names, and a general sense of your day-to-day schedule. Set up a simple check-in routine before you leave. If communication is ever disrupted, someone who loves you should always know where you’re supposed to be.
7. Sort Out Your Cell Phone Plan Before You Leave
When you’re coordinating a group trip, communication isn’t just convenient — it’s everything. Before you board, confirm your carrier’s international roaming rates, look into adding an international day pass, or explore an eSIM for seamless, affordable data the moment you land. Don’t leave this one for the airport. Know your plan before you go.
8. Download WhatsApp
If WhatsApp isn’t already on your phone, download it now. It runs on Wi-Fi or data, so there are no surprise roaming charges. Hotels, drivers, tour operators, and local contacts around the world rely on it — and for group travel, it’s an absolute lifesaver for keeping everyone on the same page.
9. Turn On Your Airline App Notifications
Download your airline’s app and enable push notifications before your trip. Airlines often push gate changes and schedule updates through their app faster than email. When you’re managing a group, staying a step ahead of any changes means less stress and quicker decisions for everyone.
10. Avoid Protests and Political Gatherings
If you happen to come across a demonstration or political gathering while you’re out exploring, simply move in the other direction. Even peaceful events can shift quickly and unexpectedly. There’s nothing to gain from stopping to watch — and your safety and your group’s enjoyment are always the priority.
11. Keep the News in Context
Headlines are written to grab attention, not to give you the full picture. A developing situation in one region of a country doesn’t automatically affect your destination. Before you make any decisions, rely on official government advisories and verified sources rather than social media speculation. Staying informed is smart. Letting a misleading headline derail your trip — or your peace of mind — is not.
